Have you ever felt the stress of returning after a long weekend to an inbox full of unread messages? Do you ever spend hours looking through pages of emails searching for one particular conversation? If your email’s inbox seems like an unmanageable mess, a few steps toward organization can go a long way for your company.
1. ORGANIZATION IS KEY
- No matter which email service your company uses, most have the option to create folders or categories. Try creating a few parent folders, like finances, employees, and clients; and make subcategories inside the folders to further organize. By filing away emails as soon as they are addressed, the opportunity for clutter in your inbox is reduced.
2. DELETE, DELETE, DELETE.
- Scroll to the bottom of your inbox. Do you see email conversations dating back as far as 2006? If so, you may need to purge. If you are clueless where to start, try deleting those emails that are expired or that don’t require responses (like online newsletters and promotional ads.) A de-cluttered inbox leads to a de-cluttered mind.
3. RESPOND IN A TIMELY MANNER
- There’s nothing worse than sending an email and hearing nothing in return. If you are planning to respond to an email, go ahead and respond as soon as you open it. Messages that are left unaddressed are likely to get looked over. Either respond, file, or delete. Messages that may require a response in the future can be filed into a “pending” folder, or marked as ‘Important’ for future correspondence.
